Right Music Teacher

Right Music Teacher is a service of Right Music Teacher LLC, an Idaho limited liability company, which is responsible for your information under this policy (“Right Music Teacher”, “we”). Right Music Teacher helps students find independent music teachers and lets teachers invoice their students. This policy says what information we collect, why, who sees it, how long we keep it, and how to ask us about it. Questions and requests go to info@gemstatemusic.com.
1. What we collect
If you use the matching tool without an account. The preferences you enter (instrument, style, teaching format, how far you will travel, and the age of each student). If you contact a teacher, we keep the inquiry: your own first and last name, your email address, your phone number if you give one, your notes, the student ages you entered, whether you are the parent or guardian or the student, and the page you sent it from. If you are a parent or guardian, we also keep the first and last name of the student you are asking about — you give us the child’s name, and the child gives us nothing. We keep inquiries so the teacher can reply and so the tool can show which teachers you have already contacted, and we remove the contact details from them after 12 months (section 7).
If you create a student account. Your first and last name and email address; a password, which Google Firebase stores in hashed form and we cannot read; which of two things you told us at signup — that you are the parent or legal guardian of the student, or that you are an adult student signing up for yourself — together with the date and time you confirmed it; the version of the Terms of Service you accepted and when; and, if you are a parent or guardian, the student’s first and last name. If you sign in with Google, we receive the name and email address on your Google account. An adult student enters a date of birth so we can confirm they are 18 or older; it is used once, in your browser, to work out your age, and is never sent to our servers or stored.
If you are a teacher. Your public profile: name, photograph, bio, instruments, styles, experience levels and ages you teach, lesson format, city and ZIP code, approximate map location, price, whether you offer a free trial, and any tags you add. Your email address and phone number, the payment methods you accept, your Stripe account identifier and subscription status, and your acceptance of the Terms. Also the student list and invoices you create. For each student on that list we hold two things you enter: the student — their first and last name, and their age if you record one — and the adult you contact about them, which is their name, email address, and whether they are the student, a parent, a guardian or someone else. A student’s own email address and phone number are never held there; only the contact’s are. Invoices hold the line-item descriptions you type.
If you choose to receive text messages. Your mobile number, that you consented, the date and time you consented, and which version of the consent wording you agreed to. Section 4 covers this in full.
If you pay an invoice or are paid. Stripe collects card details directly on its own pages. We never see or store card numbers. We receive confirmation that a payment was made, the amount, the date, and the invoice it applies to. When a teacher records a cash, check, Venmo, or similar payment, we store the method, amount, and date the teacher entered.
If you leave a review. Your first and last name, your email address, the teacher, a rating, and your comment. We check reviews before they are shown. A published review shows your first name and last initial and your comment; your email address and full last name are never shown.
If you ask about licensing the tool for your studio. Your name, studio name, email, phone, studio size, website, and message, sent to us by email.
Technical information. Our hosting provider (Bluehost), our content network (Cloudflare), and Google Firebase keep ordinary server logs that include IP addresses and browser type, and may set cookies needed to keep the site secure. The app stores a few preferences in your browser, such as the last screen you were on. We do not run analytics, advertising cookies, or tracking pixels on the service.
2. How we use it
To match students with teachers; to deliver inquiries and let teachers reply; to run accounts and sign-in; to create, send, and record invoices and payments; to send the text messages you opted in to; to bill teachers for listing and invoicing; to check reviews before they appear; to answer support and privacy requests; and to keep the service secure. We do not use your information for advertising, and we do not sell it.
3. Who sees it
Your teacher. A teacher receives the inquiries you send them. If a teacher declines your request from the link in their email, the app shows them only the student’s first name and last initial. When a teacher adds a student to their list or sends an invoice, that record holds the student’s name and age as the teacher entered them, and the contact’s name, email address and relationship to the student. Invoices and notices are addressed to the contact, and refer to the student by name in the third person, so a parent is never written to as though they were their own child. Your mobile number is never shown to a teacher; a teacher can ask us to text you an invoice without seeing the number.
Service providers, who process information on our behalf and may not use it for their own purposes:

Stripe acts for itself as well as for us. When you enter card details to pay an invoice, or identity and bank details to be paid as a teacher, Stripe receives them directly and processes them under its own Privacy Policy, not only on our behalf. Card numbers and bank credentials never reach us. What we keep is in the table above: Stripe’s identifiers for a customer, payment, payout account, transfer or subscription, and whether each succeeded.
When required by law, or to protect the service, its users, or the public.
We do not sell personal information and do not share it with anyone for their own marketing.
4. Text messages
Text messages are optional. Nobody has to receive texts to use Right Music Teacher, to pay an invoice, or to list as a teacher.
What we send and why. If you are a student account holder and opt in, we text you invoice notifications from your music teacher: that an invoice was sent, the amount, and a link to view and pay it. If you are a teacher and opt in, we text you notifications about your own Right Music Teacher account: when a student connects with you, and reminders about your listing status. That is all we text. We do not send marketing texts.
How you opt in. By entering your mobile number and ticking the consent box in your account. The box is never pre-ticked. For a student account, consent can only be recorded once your email address is verified. If the student is under 18, this must be a parent or guardian’s phone number, and the parent or guardian must be the one giving this consent.
Message frequency. Roughly 1–4 messages per month. For students, that depends on how often you’re invoiced.
Message and data rates may apply depending on your mobile phone service plan.
How to opt out. Reply STOP to any message to cancel at any time — or quit, end, cancel, unsubscribe, revoke, or opt out; any of those words in a reply is honored. You can also untick the text-message box in your account. Either route works; you never have to use a particular method. A reply turns texts off in your account immediately and our messaging provider stops delivery to your number. Reply START to turn them back on.
How to get help. Reply HELP to any message, or email info@gemstatemusic.com.
Your number. We do not sell or share mobile numbers with third parties or affiliates for their marketing or promotional purposes. Text-messaging opt-in data and consent are shared only with the provider that delivers the messages (Twilio), and only to deliver them. Your number is never shown to your teacher, or to students if you are a teacher.
What we keep. We keep a record of your consent — the number, the date and time, and the wording you agreed to — and of any opt-out, for as long as we message you and for at least four years after the last message we send you, so we can show that messages were sent with permission.
5. Accounts and age
Accounts are held by adults. When you create a student account you tell us which of two things is true: you are the parent or legal guardian of the student and are creating the account for them, or you are an adult student creating it for your own lessons. A parent or guardian confirms that role and their authority to consent to lessons and charges on the student’s behalf. An adult student enters a date of birth, which is used once to confirm they are 18 or older and is not stored.
We rely on these statements. We do not verify anyone’s identity or age, and our systems cannot guarantee that no one under 18 holds an account. We do not knowingly allow it. If we learn that an account is held by someone under 18, we follow the procedure in section 6.
We collect a child’s name and age only from an adult: from a parent or guardian at signup or in an inquiry, and from a teacher on their student list or an invoice. A child never has an account, an email address or a phone number with us, and a teacher’s student list has no field for one. We do not knowingly collect personal information directly from a child under 13.
Where an age a teacher records for a student is under 18 but the account it belongs to says the holder is the student themselves, those two statements cannot both be true. We treat that as a report of a minor account and work it through the procedure in section 6.
6. Reporting an account held by a minor
Anyone — a parent, a teacher, another user, or anyone else — can tell us that an account holder is under 18. Email info@gemstatemusic.com with “Minor account” in the subject line and whatever you know: the name or email on the account, and how you know the holder’s age. You do not need to be the child’s parent to report.
Here is what we do:
- Acknowledge. We reply within 2 business days to say we received the report.
- Check. We look at the account’s own information: the holder type chosen at signup, the confirmation and its timestamp, the names on the account, and the email address. We may email the address on the account to ask about the holder’s age. We do not share the reporter’s identity with the account holder.
- Act, within 10 business days of the report.
- If the holder appears to be under 13, we delete the account, or, where a parent or guardian steps forward, we keep it only if that adult takes it over as the account holder and confirms consent in a way we can verify. We do not have an automated consent tool; this is done by email with the parent or guardian.
- If the holder appears to be 13 to 17, we convert the account to one held by a parent or guardian, if one is willing and confirms the same things a guardian confirms at signup, or we close the account.
- If the account is closed or deleted, the deletion in section 7 applies, with the same limits.
- Tell the reporter what we did, without sharing the account holder’s details beyond that.
We keep a record of each report, what we checked, and what we did, so we can show how the report was handled.
7. How long we keep information, and deletion
We keep your information while your account is open and as long as needed for the purposes in section 2.
To delete your account, open your account page and choose “Delete my account” (you will confirm your password or Google sign-in first), or email info@gemstatemusic.com from the email address on the account with “Delete my account” in the subject line and we will run the same deletion for you within 30 days. Deletion is automatic and immediate: it deletes your sign-in and your account record, and removes your name, email address and phone number — and the name and age of any student recorded alongside you — from your teacher’s student list, from the inquiries you sent, and from any reviews you wrote. We do not keep database backups, so a deleted record cannot be recovered after about an hour. For a teacher, closing the account removes your public profile and photograph.
What is kept, and why. Some records are not only yours, and are kept with your identifying details removed rather than deleted:
- Invoices are your teacher’s business records. The amounts, dates and payment history stay in the teacher’s account, shown as issued to “Former student”; your name and email, and the student’s name and age, are removed from them, including a name a teacher typed into a line description.
- Reviews you wrote stay published under “Former student”, with their rating and text, so a teacher’s rating stays honest. Tell us in your deletion request if you want them removed instead.
- Inquiries you sent to teachers, whether or not you have an account, keep your name, the student’s name, your email address, your phone number and your notes for 12 months from the day you sent them; after that we remove those details automatically and keep only the instrument, preferences, ages and dates. Deleting your account removes them at once, and anyone can email us to have their contact details removed from their inquiries sooner.
- Stripe keeps its own records of every card payment and payout under its own retention rules. Where we can identify a payment, we ask Stripe to remove the student’s name from its description; Stripe’s records of the payment itself, and receipts it has already emailed, remain.
- Emails and texts already sent cannot be recalled, and our delivery providers keep their own logs.
- Text-message consent and opt-out records are kept as described in section 4, with the number removed from your account.
- Server logs at our hosting, network, and cloud providers are kept under their own schedules.
When a deletion runs, we keep a record of what was deleted and what could not be reached, without your name, email or other personal details, so we can show the request was honored.
Teachers who close their account: your profile and login are removed. Invoices you issued remain with the students who received them and in Stripe’s records.
8. Your privacy rights
Whoever you are and wherever you live, you can ask us to:
- Access — tell you what personal information we hold about you.
- Correct — fix information that is wrong. Names, email, and teacher profiles can be edited in the app; email us for anything else.
- Delete — remove your information, from your account page or by email, with the limits in section 7.
- Port — give you a copy of the information you provided, in a common machine-readable format.
- Opt out — stop text messages (section 4). We do not sell personal information or use it for targeted advertising, so there is nothing further to opt out of.
How to ask. Email info@gemstatemusic.com with “Privacy request” in the subject line and say what you want. This is the only request channel. To confirm it is you, we reply to the email address on your account, or, if you have no account, to the address you used with us; we may ask one or two questions only you would know. Someone may ask on your behalf if they show they are authorized to.
When we answer. Within 30 days of receiving the request. If a request is complex we may take up to 30 more days and will tell you why within the first 30.
No discrimination. We will not refuse service, charge a different price, or treat you differently for exercising these rights.
If we say no, you can appeal. Reply to our decision with “Appeal” in the subject line within 30 days. A different person from the one who made the decision — the studio owner if the owner did not decide the first time — reviews it and answers in writing within 30 days, explaining the outcome. If you still disagree, you can contact the attorney general of your state.
9. Security
Sign-in and storage run on Google Firebase. Passwords are hashed by Firebase and are not readable by us. Card details go only to Stripe. Phone numbers and text-message consent are removed from every record a teacher can see. Administrative tools require a signed-in account that an existing administrator has approved. No storage or transmission method is completely secure, and we do not promise that information will never be accessed without authorization. If we learn of a breach affecting you, we will notify you as the law requires.
10. Changes
We will post changes here and update the effective date and version at the top. When a change is material, we will ask you to accept this policy the next time you sign in, before you can continue using your account — the same way the Terms of Service are accepted (Terms section 13). Your acceptance, and the version you accepted, is recorded on your account.
